Enabling
and Configuring Purchase Agreement Notifications
This guide outlines how to enable
and configure notifications for purchase agreement approvals, implemented
statuses, and rejections within the Procurement offering.
Steps
to Enable
To activate this feature, use the Opt
In UI. You'll find detailed instructions in the "Optional Uptake of
New Features" section of your documentation.
Configuring
the Notification Templates
Once the feature is enabled, follow
these steps to configure your notification templates:
- Access Analytics Publisher: Directly sign in to the Analytics Publisher server
(e.g., http://hostname.com:7001/xmlpserver) and click the Catalog tab.
- Locate the Template:
In the Folders pane, navigate to Shared
Folders > Procurement
> Purchasing. Find one of the following templates:
- Purchase Agreement Notification Report
- Purchase Agreement Implemented Notification Report
- Purchase Agreement Rejected Notification Report
- Customize the Template: Click More next to your chosen template, then
click Customize. This action creates a copy of the template in the Shared Folders
> Custom > Procurement > Purchasing folder.
- Edit the Template:
Access this copied template in the Custom folder and make your
desired changes.
- Upload the Template:
Upload the modified template, making sure to select the correct locale for
your instance.
Note: The data model for these templates is the Purchase
Agreement Notification Data Model.
Tips
and Considerations
- Purchase Agreement Approval Notification: This notification is sent to the approver when a buyer
submits a blanket purchase agreement or contract purchase agreement for
approval.
- Purchase Agreement Implemented FYI Notification: The buyer receives this notification after purchase
agreements are approved by the approver.
- Purchase Agreement Rejected FYI Notification: This notification is sent to the buyer when purchase
agreements are rejected by the approver.
- Hidden Attributes: Individual attributes without data will be hidden in the notification.

Requirements
To use this feature effectively,
ensure the following privileges and roles are assigned:
- Viewing Purchase Agreements from Notifications: Users assigned a configured job role containing these
existing privileges can view the purchase agreement from the notification:
- View Purchase Agreement (PO_VIEW_PURCHASE_AGREEMENT_PRIV)
- Communicate Purchase Order and Purchase Agreement (PO_COMMUNICATE_PURCHASING_DOC_PRIV)

Publisher: Administrators assigned a
configured job role with the following duty role can configure the
notifications:
- BI Author Role
(BIAuthor) - This duty role was available prior to this update.
